Job Description: Program Coordinator
Impact Hub Aruba is seeking a motivated and organized Program Coordinator to join our core team.
The Program Coordinator supports the development, coordination, and delivery of our entrepreneurship, innovation, and sustainability programs. The role combines program and curriculum development, participant support, stakeholder coordination, program delivery, and impact monitoring.
Working closely with the Managing Director and team, the Program Coordinator helps translate program ideas into structured and engaging experiences for participants.
Responsibilities:
Program Development & Coordination
- Conduct research on relevant topics, methodologies, community needs, and best practices.
- Assist in developing and improving programs, curricula, learning journeys, workshops, and participant activities.
- Translate program concepts into practical schedules, activities, materials, and implementation plans.
- Coordinate programs from participant recruitment through completion.
- Coordinate trainers, mentors, facilitators, workshops, pitch events, and other program activities.
- Support continuous program improvement based on results, feedback, and lessons learned.
Participant & Stakeholder Engagement
- Serve as a key point of contact for program participants.
- Coordinate applications, onboarding, attendance, communication, assignments, and participant progression.
- Support entrepreneurs and participants with relevant resources, mentoring, referrals, and opportunities.
- Coordinate with trainers, mentors, partners, community organizations, and other stakeholders.
- Support meetings and follow up on agreed actions with partners and stakeholders.
- Connect with Impact Hub Global and the wider network for relevant resources, knowledge, and program opportunities.
Event & Workshop Coordination
- Plan and execute workshops, networking sessions, and sustainability and community-driven events.
- Coordinate logistics, RSVPs, and post-event reporting.
- Work with guest speakers, trainers, and facilitators to enhance program delivery.
Marketing & Recruitment Support
- Collaborate with the Marketing & Communications team to develop outreach strategies for project recruitment.
- Assist in social media content creation and email marketing related to projects.
- Help promote program success stories and impact-driven initiatives.
Administrative & Reporting Tasks
- Maintain project databases, participant records, and documentation.
- Support budget management and financial tracking for projects.
- Assist with grant applications, sponsorship proposals, and donor reporting.
Job Requirements:
- Qualifications Requirement:
✔ MBO or HBO level thinking and a minimum of 2 years working experience, preferably in People Development, Business Administration, Project Management, Marketing, or a related field.
- Essential:
✔ Experience coordinating programs, projects, workshops, events, or similar initiatives.
✔ Strong organizational and planning skills.
✔ Strong written and verbal communication skills in English, Papiamento, Dutch, and Spanish.
✔ Ability to manage multiple activities, stakeholders, and deadlines.
✔ Strong interpersonal skills and ability to work with entrepreneurs, participants, trainers, and partners.
✔ Strong research, administrative, and reporting skills.
✔ Ability to work independently, take initiative, and solve problems.
✔ Interest in entrepreneurship, innovation, sustainability, and community development.
✔ Willingness and ability to travel regionally and internationally as required for program activities, events, training, partnerships, and Impact Hub network opportunities.
- Desirable:
✔ Experience supporting entrepreneurs, startups, or small businesses.
✔ Experience developing curricula, workshops, or learning activities.
✔ Experience assisting with proposals, grants, subsidies, or funded programs.
✔ Experience with monitoring, evaluation, and impact reporting.
✔ Familiarity with project management tools such as Trello, Asana, or Monday.com.

The Program Coordinator focuses on the development, content, participant journey, delivery, and quality of Impact Hub Aruba’s programs. The role works closely with the Managing Director on program direction and provides support with proposals and funding related requirements.
